Near North Ontario Cottages is committed to the privacy of personal information and endeavor to ensure that
information is maintained in a confidential, secure and private manner.  Our corporate privacy policy builds on the
commitment.

The use of personal information in Canadian is protected by federal legislation under the Personal Information
Protection and Electronic Documents Act (PIPEDA).  PIPEDA was enacted to alleviate consumer concerns about
privacy and to allow a company such as ours, Near North Ontario Cottages, to compete in the global digital
economy and to demonstrate our respect for, and protection of, personal information, which has gained us a cutting
edge on the competition and by complying with PIPEDA built trust in our company.


1.  Limit of Information

Personal information is not collected indiscriminately and we limit the amount and type of the
information gathered to what is absolutely necessary for us to conduct business and build relationships.  

2. Accountability

Near North Ontario Cottages is accountable for all information in its control. Mr. Philip Cook, General
Manager for Near North Ontario Cottages, Inc, is the designated Corporate Privacy Officer.  The
Corporate Privacy Officer is responsible to ensure corporate and business compliance to the Act and to
the Near North Ontario Cottage Privacy Policy.

Our Corporate Privacy Officer ensures that our privacy policies and procedures are adhered to, and
communicated to all employees; trains staff to manage and protect the privacy of personal information;
and ensures that appropriate documents for disseminating information on privacy policies.
Near North Ontario Cottages adheres to the caveats as required under personal information in
Canadian as protected by federal legislation under the Personal Information Protection and Electronic
Documents Act (PIPEDA).  

3. Identifying Purposes

Near North Ontario Cottages only collects information relevant to anyone employed, contracted  or
having business with Near North Ontario Cottage for the purposes of, but not limited to, screening,
background checks, reference checks, credit checks, criminal checks,  owners and applicants
applications, agreements and terms and conditions, conducting reference checks, credit rating, personal
information for the applicant process, invoicing and payment of invoices. Personal information includes
any factual or subjective information, recorded or not, about an identifiable individual.

4. Consent

Near North Ontario Cottages requires that consent is requested and indicated on all Near North
Ontario Cottage forms and applications.  The aspect of implied consent under Federal Acts is applied
where applicable.  We only collect and use personal information for the exact purposes of our business.
We do not disclose any information unless required to do under law.  We use or disclose personal
information only for the appropriate purpose for which it was collected and for which consent has been
provided.  Individuals have a right to see the personal information that we hold about them, and to
correct any inaccuracies.  

5. Limiting Collection

Near North Ontario Cottages makes all reasonable efforts to ensure that we limit the collection of
personal information and that this information is limited to that of people to do business with or be
employed by Near North Ontario Cottages.

Information is only collected for the purposes of Near North Ontario Cottages registered business and
is intended for the purposes of application, screening, background checks, identification confirmation,
ownership and financial obligations.  Any additional use such as media marketing in any form must be
requested separately with specific consent from the persons involved.

6. Limiting Use, Disclosure, and Retention

Near North Ontario Cottages limits the use of personal information only to that which the business is
registered and as outlined in preceding articles of Principles, and for only as long as for the purpose for
which it was collected.

Further, we limit the disclosure of any and all personal information obtained by Near North Cottages
Ontario to that which is required under law.

Information for Marketing and Customer Relationships. Near North Ontario Cottages retains personal
information for the purposes of marketing and customer relationship on owners and applicants for a
period of five years at which time it is removed and destroyed.  This information is limited to: Name,
Address, Telephone numbers, Email addresses and information on Application Form less any and all
financial information.

Limited Retention on Financial Information.  Personal financial information such as banking and credit
cards is retained by Near North Ontario Cottages for a maximum of 90 days following the termination
of a Agreement.  All financial information is removed and destroyed and recorded by the Corporate
Privacy Officer.

7. Accuracy

Personal information is only used for the exact purpose that it was provided by the person themselves
and who provided consent for Near North Ontario Cottages to retain. Near North Ontario Cottages
endeavors to maintain and ensure the accuracy of the information received by Near North Ontario
Cottages, and may from time to time request up-dated information to ensure this accuracy.

8. Safeguards

We protect personal information from loss or theft and safeguard it from unauthorized access,
disclosure, copying, use or modification.  Security safeguards include: Physical measures (locked filing
cabinets, restricting access, alarm systems; Technological tools (passwords, encryption, firewalls), and
Organizational controls (security, limiting access on a "need-to-know" basis, staff training, confidentiality
agreements).

Destruction of personal information in accordance with these Near North Ontario Cottages principles is
completed under supervision and recorded in the company Document Destruction Record to ensure
that disposal or destruction of personal information is controlled and to prevent unauthorized parties
from gaining access to this information.

9. Openness

Near North Ontario Cottages makes every effort to ensure that open and available access to our
privacy policies.  Access to and information about our Privacy Policy can be made via our web site –
www.NearNorthOntarioCottages.com , brochures, owner and applicant information books, on our
application forms and as posted at business offices.

Our Privacy Policy provides information on the handling, safeguard and destruction of personal
information.

10. Individual Access

When requested and once identification is confirmed Near North Ontario Cottages will provide any
and all information that we hold on that person. We will provide information on exactly how and where
their personal information being held by the company is used and if, required to be under law,
disclosed.  Individuals have a right to access to the personal information held by and Near North
Ontario Cottages will assist the individual in doing so.  If necessary we will correct or amend any
personal information if its accuracy and completeness is challenged and found to be deficient.  We will
provide a copy of the information requested subject to exception set out in Section 9 of the Act.  Near
North Ontario Cottages will record each request for access and the corresponding results and/or
resolving to that request.

11. Challenging Compliance

Individuals may challenge Near North Ontario Cottages compliance with its own privacy code or with
our compliance with that of the Personal Information Protection and Electronic Documents Act
(PIPEDA
).

Complaint to Near North Ontario Cottages on their Privacy Policy or issues under the policy should be
in writing providing as much information and detail about the complaint to the Corporate Privacy
Officer.

Your will receive a written return acknowledging the receipt of your complaint. All complaints will be
pre-investigated by the Corporate Privacy Officer and in non complicated cases appropriate actions or
measures to correct information and handling practices and policies. Individuals will be advise in writing
the actions taken by Near North Ontario Cottages. If the complaint requires further investigation and
response Near North Ontario Cottages will:

•        Record the date a complaint is received and the nature of the complaint.
•        Acknowledge receipt of the complaint promptly.
•        Contact the individual to clarify the complaint, if necessary.
•        Assign the investigation to a person with the skills necessary to conduct it fairly and impartially.
•        Give the investigator access to all relevant records, employees or others who the information.
•        Notify individuals of the outcome of investigations clearly and promptly, informing of steps taken.
•        Correct any inaccurate information/modify policies/procedures based on outcome of complaints.

Individuals may also complain to the Privacy Commissioner. Individuals who feel their privacy rights
have been infringed upon can complain to the Privacy Commissioner of Canada. The Commissioner's
role is that of an ombudsman, trying to find solutions to privacy problems, resolving complaints through
negotiation and persuasion, and using mediation and conciliation if appropriate.

complain relating to the protection of personal information, and all complaints are investigated.  

Resolution of Compliant is in accordance with the Act and are disposed of in the following three ways:

•        Not well founded.  The is no evidence to lead the Commissioner to conclude that the
organization violated the Act

•        Well founded.  The investigation revealed that the organization failed to respect a provision of
the Act and the complaint was not resolved.

•        Resolved.  The investigation supports the complaint, but the organization agrees to take
corrective action to remedy the situation. The complaint may also be resolved if it appears to be the
result of miscommunication or misunderstanding. The complaint is also resolved if the complainant is
satisfied with the Commissioner's efforts and the results.
