Our company is located in the Near North Region and we have easy and timely access all of our cottage locations. That is one of our characteristics that make us unique in the Cottage Rental Management Market - we actually live and work in the area. Our region is unique and every land owner and visitor to our region knows that, and that is why we have developed unique services to meet these unique needs. Our rates are compatible, if not lower, than others and we provide a personal service What follows is something that as a Cottage Owner you may find interesting. It is designed to give some insight in the renting your cottage. We hope you find it useful. THINGS TO KNOW AND CONSIDER IN RENTING YOUR COTTAGE Commercial Cottage Owners You know and understand your business. We hope to help you increase your operation, business and occupancy rates. Our services to Private Cottage Owners as provided below are also available to Cottage Resort Owners. Please call or e mail us to discuss - it will be worth it. Private Cottage Owners - Renting your Recreational Property Renting you cottage or recreational property may seem like a good idea and have many rewards including financial, however, it is not for everyone. Here at Near North Ontario Cottages we strongly advise Owners to consider firstly the benefits of renting your property including what satisfactions you want to receive by renting out your property, how much of an profit do you believe you should expect, and if you will have any enjoyment in renting out your property. We will go through all this, and more, with you discussing the benefits as well the perhaps negative issues that you may encounter as an Owner renting your property. In the process we want to make sure that your are comfortable with renting your cottage and some of the more important aspects of cottage renting such as allowing screened and paying clients into their cottage or recreational property for their own enjoyment under certain rules and conditions, or equally, people coming into you space and using their things. If you are satisfied and comfortable with that then you have accomplished the first step in being a future satisfied and contented owner who rents your cottage or recreational property. Renting does not come without problems - not all things can be controlled and forecast, and accidents do happen and some items may have more normal wear and tear. We will collaborate with you to ensure that your cottage or recreational property is prepared to ensure such in minimized. Precious and personal items are secured away, favorite furniture and effects are removed and so on. We will discuss with you our recommendations. We have some stipulations to ensure we are satisfied that we have done our utmost to protect your interests and we will have recommendations to you for exactly the same reason. Our number one priority, first and foremost, is you, the owner - it is our business to take care of the cottage and recreational property owner. Being a Recreational Property Landlord When you own a cottage property and intend renting it out, you have two options. You can either manage the property yourself or use a managing service. Engaging a managing service to manage the cottage property on your behalf simply means that you would a company to provide you services to rent your cottage or recreational property for an agreed term and under agreed terms and conditions. Some things you may want to do yourself while other things you may want the experience and ability of a cottage management company whose business it is to ensure the satisfaction of the owner. Many cottage rental companies provide only advertisement and administrative services. We have a much wider capability due to our location and offered services. Some examples for using an established service may be to use their marketing capacity to reach a larger rental audience, their administrative process to select and access suitable and screened renters, and their business capability to provide renter agreements. We also provide on-site visitations, cottage information package, response to problems, emergency servicing, security, on site problem solving, invoicing and providing accurate and detailed account statements to you, the Owner. Engaging a Managing Service A good managing service should have a thorough knowledge and understanding of cottages and recreational properties in their area and with that an understanding as to the concerns and issues of property owners, familiarity with property laws and municipal laws, legal support and advise support, and the cooperation and coordination with local services including police, fire, emergency, and trades people. Each cottage managing service provides their services to varying degrees of efficiency and capability. Unlike regional based services, such as ours, most cottage rental management companies can't visited the cottages they rent out and would know nothing of breakage or misuse until the owner discovers the problem - by that time it may be too late for recovery. We encourage owners to ask questions and explore the means of how services are provided. We want you to be satisfied and content that you have selected a service that will look after your interest in the way that you are comfortable and in a manner that you will feel confident and at ease with your cottage in the best hands. We provide owners with dedicated and professional service - we work with you to provide you with what you feel is best suited for you and to give your best return for the rental of their cottage. Local Business If you are looking for personal service with someone who is present and available to deal with issues of your cottage then it is recommended that the company you select should have the capability to respond to your needs. It is recommended for owners who are absent from their cottage location to use a managing service whose business and owners live and work within that area. Service Listings – What are you paying for? Managing services each have its own list of services offered to a cottage or recreational property owner for their own set fee rates. We encourage you to do comparison shopping and access companies for their services and their fees. We provide owners with dedicated and professional service - we work with the owner to provide the owner what they feel are best suited for them and to get them their best return from their cottage. All our services are negotiable - from the minimal to a complete support program. Here are some of the things that we can help you with: • Give You Information. We will provide you with any and all information that you may require and ask for to best understand us and to make an informed decision on renting your cottage. • Answer Your Questions. We will discuss any and all questions and queries that you have to our best ability and to your satisfaction. • Preliminary Assessment. Once you are satisfied we can go to the next step, and with your approval, we visit your property to conduct a preliminary assessment from which we will be able to discuss with you and advise you on the potential opportunities. • Formal Owner Agreement. When you are satisfied to go ahead, we will make a written and legal agreement with you based on your stipulations and negotiated terms. • Full Cottage Information Package. We will visit your cottage as many times as necessary to ensure we have all the photos, information and detail necessary to develop and produce a professional Full Cottage Information Package. • Internet Personalize Cottage Listing. From your Information Package we develop your web site personalized Cottage Listing available to an Internet worldwide audience. We use this information to market of your cottage through our various marketing events and marketing/advertising mediums. • Seasonal Package. We will repeat the process for seasonal cottage listings such as winter rental or recreation specific rental such as snowmobiling or ATV. • Owner Access. As an owner it is important that you have access to us to resolve any concerns or issues. We will maintain and update the availability and information about your cottage on our website Cottage Calendar Program for the times that you have your cottage available. • Promote your Cottage. We will promote your cottage through our various marketing and advertising mediums ensuring your cottage visibility to potential cottage renters. • Protection of Privacy. We take protection measures in accordance with Federal regulations and laws to protect your personal information. We never post or allow access to any of your personal information. Our Privacy policy may be read at Near North Ontario Cottages Privacy Policy. • Access to Potential Renters. Provide immediate contact access and response rental how-to-information to potential renters via our web site, e mail, fax, telephone, Canada Post, Courier Service and walk in to our Near North Ontario Cottage Office. • Ease of Renting a Cottage. We will provide an easy and comfortable process for potential renters to make Application and pay for a cottage rental while at the same time protecting the interest of the owner. • Applicant Screening. We administer the Application process and will screen all applicants for your cottage in accordance with our Screening Policy and Procedure which is available for owners to view. • Cottage Rental Agreement. We provide a legally binding Cottage Rental Agreement to Renters that stipulate the Terms and Conditions of the cottage rental. • Security Deposit. We ensure that a Security Deposit is received from all renters to be held and used in cases of any non wear and tear incidents. We inspect after rental cottages. • Deposits and Rental Payment. Our Finance Team will administer the collection and accounting for all rentals and financial matters concerning your cottage. • Monthly Statement of Account. We will provide you a Monthly Statement of Account either by mail or by email. • Pre-Rental Payment. We will deposit to you in the method that you prefer your rental revenue one week prior to the cottage being occupied giving you the confidence and security of payment before use. • Professional Assistance and Follow Up to Renters. We will provide professional assistance and follow up to your renters. Our job is to ensure that they enjoy their experience with your cottage. We want to create and maintain a loyal renter who wants book and return year after year to your cottage. After a few years it would not be uncommon to have your cottage rented for the majority of the rental season on e year in advance. We are dedicated to achieving that. • Cottage Over Watch and Administration. We will provide our Over Watch and administration on your cottage during rental occupancy to ensure that the terms and conditions of rental are being adhered to and between occupancy we will conduct periodic security checks. • Cottage Information Booklet. We provide every cottage with a Cottage Information Booklet which is part marketing tool to highlight your cottage and encourage repeat booking, and Rules and Regulations booklet providing the rules of occupation, and contacts in case of utility breakdown or similar cottage emergency. • Service and Maintenance. We will provide emergency repair and maintenance during occupancy in accordance with our agreed terms and conditions of repair and maintenance. • Disputes. We will handle all disputes with the renters. • End of Occupancy Inspection. We will inspect the cottage at the end of occupancy and ensure that your cottage is ready for the next occupant. • Follow Up. We will follow up with you on any matters of concern relating to your cottage. • Review and Amend. We will review and amend your cottage listing after occupancy and at the end of each rental season in preparation for the next marketing campaign of your cottage. • Senior Citizen Owner and Veteran Owner Program. Near North Ontario Cottages has a Senior Citizen and Veteran Discount Programme which may apply – ask for details. Fees • The fees charged by any Managing Service need to be realistic. You need to be satisfied that the fees being changed are reasonable for the amount of effort, time and expense that the company will be putting into you and your cottage to get it rented, to keep it serviced, and for you to receive the return you expect. There is much that goes into renting a cottage for profit. • We will work with you to achieve the best return for you. Together we will do an assessment of your property to determine in comparison with other such properties what the prospects are for rental, rental changes and expectations on rental. All properties have a different level of marketability depending upon many factors. • While an owner may believe their property to be the best of the best for the local it really depends on the property ability to attract and get the marketing exposure it requires. We put considerable energies toward ensuring that your property gets into the eye of potential renters. We do that through our Internet website and our links available on other websites, paper print advertising in papers, magazines, brochures and events, association with business and government agencies with large employee bases, tourism boards, and special events and trade shows locally and in larger centers such as the Greater Toronto Area and Buffalo, New York. Management Agreement When you engage a service to manage your property make sure that you have a written agreement that you can study, discuss and, if need be, make amendments in accordance with the exact services that you want. We have the Near North Ontario Cottages Management Service Agreement. The terms, fees and some conditions of the agreement are negotiable based on what expectations and services you will expect from us. For example, our normal service provides cottage rental marketing and administration while our second level includes post occupancy inspection and preparation for the next renter occupant. Repair and Service To save yourself time and effort on the maintenance and service of cottage especially when your cottage is occupied with a renter we recommend that you allow us an expenditure limit for urgency or urgent repairs or service. This is ensure the continued use of the cottage rental and rental payment. Such urgencies may include water pumps, sewage or septic problems, electrical issues, kitchen appliances that become unserviceable and so on. We recommend a $300 limit on repair and maintenance in such cases which gives us the opportunity to ensure the continued occupancy of your cottage during a rental. This enables us to authorize minor repairs and replacement on your behalf up to that amount. We make sure that all our agreements are written, and that you are satisfied with the content. This ensures that we are all understanding of our commitments. Property Confirmation We require confirmation of ownership. This is normally done by providing property tax receipt or utility bills showing your name and the address of the property. Don’t let problems escalate We are proactive in ensuring that any issues, problems, or complaints are identified early and resolved promptly. We also ensure that renters comply with the rules, terms and conditions and once an issue has been identified we will take immediate steps to resolve the issue. Any issues are immediately communicated to you, the owner. Near North Ontario Cottages is embedded into our community. We have close liaison and cooperation with the people and agencies for the police, fire, emergency services, air ambulance, local utility services and experienced and professional service people to take care of any and all needs of a cottage or recreational property. Security • Police. We maintain a close relationship with municipal based Ontario Provincial Police (OPP) and provide them with our list of cottage rentals occupied and vacant. We maintain liaison for the security and protection of cottage owners, renters and property. Additionally, representatives of Near North Ontario Cottage pay periodic security visits to the property. • Fire, Emergency and Medical Service. Each municipality has fire, emergency and medical services on call. Locally approved instructions on these services will be provided to each renter as part of the cottage information book. • Smoke and Gas Detectors and Fire Extinguishers. Under provincial regulation each cottage or structure used for accommodation is to have smoke detectors. We also require each cottage and living accommodation to have approved fire extinguishers and in the case of natural gas/propane burning facilities such as stove, oven, barbecue, lighting, fireplace, heater and/or furnace a CO2 / carbon monoxide alarm. Services are available by Near North Ontario Cottage to obtain and install any such equipment needed. • Security Assessment. For our Gold and Platinum plans we provide a free physical security and safety assessment of the cottage or recreational property on our first visit to your property. When you have a problem Minor problems and irritants can become major issues if not dealt with early enough. Maintaining communication between owners and us is important and when done on a regular basis, especially during the rental periods, we ensure that owners have any of their queries or concerns dealt with.
